Our privacy policy is here to help you understand the types of information that we collect through Kinderpedia, how we use it, and be aware of the choices you have. When we talk about Kinderpedia, we are referring to KINDERPEDIA SRL, the legal entity, Kinderpedia - the downloadable application, and Kinderpedia website at www.kinderpedia.co. Kinderpedia is available for use via a web browser or applications specific to your desktop or mobile device.
This policy describes how Kinderpedia treats your information, not how other organizations treat your information. If you are using Kinderpedia in a nursery, kindergarten or school or on a device or account issued to you by your school or another organization, that school or organization likely has its own policies regarding storage, access, modification, deletion, and retention of communications and content which may apply to your use of Kinderpedia. Content that would otherwise be considered private to you or to a limited group of people may, in some cases, be accessible by your teacher or administrator.
This policy does not apply to websites or practices of companies that Kinderpedia does not own or control, or to individuals that Kinderpedia does not employ or manage, including external providers or publishers, which we may display on our services.
What is Kinderpedia
Developed to specifically address the real-world problems in
Early
Childhood Education, Kinderpedia is an interactive digital and mobile
solution, which brings together nurseries, kindergartens, schools, teachers and parents on the same
platform,
available on all desktops and mobile devices, anytime, anywhere. Users can take advantage of all
specially designed features that help them communicate faster, work smarter and get organized
easier.
Kinderpedia is unique in that it focuses on both the Parent Communication
and Engagement, as well as
Center Administration and enables real-time communication, customized interaction
and resource
sharing.
Kinderpedia is a SaaS platform – software as a service – meaning that
some or all of its users may be charged for enjoying its features, based on their previous and
explicit acceptance. The app provides a friendly, private and secure interface ensuring transparency
and a direct communication channel to keep parents connected and engaged. The platform is composed
of a robust web interface complemented by native iOS and Android apps for teachers and parents.
User Types. Rights & Limitations
Daycares, Kindergartens and Schools are profiles of education entities, created by their administrators (Managers/ Schools Officials) in order to ease communication and collaboration with their key users and beneficiaries: Teachers & Parents. They are at the core of the Kinderpedia platform, as most of its features and functions are related to the above.
Managers/Schools Officials own and manage the profiles of education entities: Daycares, Nurseries, Kindergartens and Schools, from their registration and set-up to the assignment of new user types, such as Teachers or Parents. Managers/Schools Official create children’s basic profiles - which they share with their Parents, for validation - and groups or classes, which they assign to Teacher users, who further manage them, in close communication with Parents.
Parents and Teachers may access Kinderpedia by creating an individual account or by validating an account assigned to them by the Manager/School Official, via an e-mail invitation. To get full access to the features of the platform, both user types must be associated to a Daycare/Nursery/Kindergarten/School, as well as to one or may of its groups or classes.
Teacher user type may obtain access to information regarding one or several groups or classes, including name of registered children, contact information for their parents, multimedia files containing children’s image, class calendar and extra-curricular events, medical files and physiological coordinates.
Guest user can only browse our nurseries/kindergartens/schools directory and the guest is able to pre-register his child if there are any available places in the institution he opt for.
All user types are fully responsible for the data and resources they upload to the Kinderpedia platform and commit to using private and sensitive information in accordance to the public laws, professional ethics and moral codes.

Usage of Personal Information within Kinderpedia
When we use the term "Personal Information" in this Privacy Policy, we are referring to personally identifiable information of individual, non-child registrants of the Services (Guest, Parent, Teacher or any Staff Member). References to "Children's Personal Information" only apply to personally identifiable information of users who have registered or who have been registered (by someone else) for the Services as minor students (i.e., students under the age of 18). General references to "information" apply to all users.
What information does Kinderpedia collect from children, and how
is it
used?
Kinderpedia collects the minimal amount of information from managers, teachers
or parents about their children
necessary to create accounts on our Service: we ask parents to provide a unique username (we advise
parents to use their real email address), a password, and their real name in order to be easy for
teachers to communicate with them. We also ask for the child's name, age, and gender (in order not
to
have duplicate children’s accounts). We will not use parent emails provided this way to market our
Service to the parent, unless the parent has opted in to e-mail marketing or has separately created
an account on our Service. Beyond this, the Kinderpedia child’s account does not allow the child the
ability to access the service or upload any content to their account, or enter any other personal
information. In addition
to the information entered by the parent, we automatically collect some information from any use of
our Service as set forth in the "Information collected automatically" section
below.
Which Children’s Information is Visible to Others?
No child’s full profile is made available or visible to the public (guests), or to any other parents, through Kinderpedia. Teachers may share their classes, with other teachers they co-teach with in their daycare, kindergarten or school, to help them collaborate. If the teacher chooses to display Kinderpedia in their classroom, such as projecting via a smart board or interactive whiteboard, students physically present in that classroom may see other students’ names, avatars (which can be the default avatars, or avatars modified by parents) and other information that teacher can see browsing through his own account. Teachers can of course choose not to display Kinderpedia this way, for example by using the Kinderpedia App on their mobile devices — and many do!
Other parents from the same daycare, kindergarten or school with their child may see only child name, avatar (which can be the default avatars, or avatars modified by parents) and date of birth (if this is set as visible by center manager - eg: Classmates module is active).
Other parents from the same class or group with their child may also see, beside the name, avatar and date of birth, the common activities, events, documents, pictures or comments related to that group or class where their child is taking part.
Information you provide to us
There are currently four categories of users on our Service: guests, teachers, parents and school officials. We collect different kinds of information. Some of it is personally identifiable and some is non-identifying or aggregated. Here are the types of information we collect or receive:

Information Collected Automatically
We receive and store certain types of usage information whenever you interact with the Services; this information is not Personal Information or Children's Personal Information. For example, Kinderpedia automatically receives and records information on our server logs from your browser including your IP address, Kinderpedia cookie information, and the page you requested. We also record the details of your activity on the Services, and the number and frequency of visitors to our site and its components. Kinderpedia uses cookies to make sure all users enjoy the best experience on the website, customized to their browsing needs.
When you download our Mobile Application, we automatically collect information on the type of device, name and version of the operating system, name and version of the application, whether the currently logged in user is a teacher, parent, or other user type, the numerical mobile device user ID, as well as actions performed by the user in accessing the Mobile Application (“Mobile Usage Information,” which is considered part of “usage information” as described above). However, we do not ask you for, access or track any geographic-location-based information from your mobile device (i.e., any information regarding where your mobile device is located on the globe at a particular time) at any time while downloading or using our Mobile Applications. For clarity, this does not prevent us from asking you what kindergarten or school you are affiliated with or to share your location when you decide to search for the nearest kindergarten or school via Kinderpedia web interface.
We also use mobile analytics software to allow us to better understand the functionality of our Mobile Application and Mobile Site on your phone. This software may record information such as how often you use the Mobile Application, the events that occur within the Mobile Application, aggregated usage information, performance data, crash reports, and where the application was downloaded from; this information is considered Mobile Usage Information.
Cookies are alphanumeric identifiers that we transfer to your computer or mobile device to enable our systems to recognize your computer or device and tell us how and when pages in our site are visited and by how many people. Kinderpedia cookies do not collect Personal Information or Children's Personal Information, and we do not combine the general information collected through cookies with other Personal Information or Children's Personal Information to tell us who you are or what your user name or email address is. Most browsers have an option for turning off the cookie feature, which will prevent your browser from accepting new cookies, as well as (depending on the sophistication of your browser software) allowing you to decide on acceptance of each new cookie in a variety of ways. We strongly recommend that you leave the cookies activated, however, because you may not be able to log in or use many of the Services’ most attractive features without cookies enabled. Our partners, affiliates, and service providers may also transmit cookies to your computer or device, to help provide you with an optimal online experience. The Services may also contain electronic images known as web beacons (sometimes called single-pixel gifs) and are used along with cookies to compile aggregated statistics to analyze how the Services are used.
Will KINDERPEDIA share, rent or sell any of the personal information or children’s personal information it receives?
Personal Information and Children's Personal Information about our users is an integral part of our business.
First and foremost, we believe your information is yours, so you should know that Kinderpedia DOES NOT sell or rent your (or your child's) personal information to any third party for any purpose - including for advertising or marketing purposes.
We may share your Personal Information and Children's Personal Information in personally identifiable form only as described below. Again, please note that references to "Personal Information" only apply to personal information of individuals who are not underage students.
a. Businesses We Do Not Control
In certain situations, businesses or third party websites we're affiliated with may offer or sell items or provide services to you through the Services (either alone or jointly with us), including publisher software. We may, for example, work jointly with other businesses to offer or sell products or provide services, or we may work with third party websites to enhance your online experience. These transactions or services may or may not be commercial in nature. You can recognize when such a business is associated with such a transaction or service. WE NEVER SHARE your Children's Personal Information with that business but we will share your personal information only to the extent that it is related to such transaction or service; for example, we may share your school affiliation and location with a third party provider. (Eg: In order to offer you the technical live support and to identify your account we receive your name, email, school affiliation, location and your account type via Intercom one of our third party service providers, in order to send you push notifications we send your name, device ID, email to OneSignal - the third party provider responsible for delivering this kind of alerts, in order to process the payments your name and card details are processed via Braintree and so on). Such services may include the ability for you to automatically transmit information you input on the Services to your profile or account on a third party website, or to automatically transmit information you input on a third party website to your Services profile. We have no control over the policies and practices of third party websites (or providers of publisher software) as to privacy or anything else, so please review all third party websites' policies before disclosing any Personal Information or other content on the Services or on any third party website (via the automatic transmissions discussed above or otherwise). Kinderpedia does prohibit publishers from collecting or using any information beyond what Kinderpedia itself collects and uses pursuant to its Privacy Policy, but this does not mean we are responsible for reviewing or verifying the accuracy of any publisher’s data collection or use policies.
Third party advertising is not permitted on Kinderpedia. We do work with vendors, service providers, and other partners to help us provide the Service by performing tasks on our behalf - we can’t build everything ourselves, after all! We may need to share or provide information (including personal information, like your email address) to them to help them perform these business functions, for example sending emails on our behalf, database management services, database hosting, providing customer support software, and security. Please see here for a list of the third parties we work with to provide the Service. These service providers do not have the right to use your personal information we share with them beyond what is necessary to assist us. Additionally, these service providers must adhere to confidentiality and security obligations in a way that is consistent with this Privacy Policy.
If your User Category allows it, you may choose to populate your user profile on the Services with Personal Information or Children’s Personal Information, including, without limitation, your name, photo and kindergarten or school affiliation. This user profile information will be displayed to other users to facilitate user interaction within the Services or facilitate interaction with Kinderpedia. If you are a parent, and if your account is linked to your child’s account, the only users who may view your child profile are those who belong to your Limited Access Group(s). However, please keep in mind that information (whether Personal Information or Children's Personal Information or not) or content that you voluntarily disclose online (in “communities,” your Limited Access Groups, to your connections, in comments to our blog etc.) becomes available to other users and can be collected and used by others, in accordance with the privacy settings you select in your account preferences, or in accordance with the User Category to which you belong. Any images, captions or other content that you submit to the Services in a manner any other user can view may be redistributed through the Internet and other media channels. For example, if you are a parent or a teacher, the content you contribute in your Limited Access Group(s) will be displayed to other members of that Limited Access Group; however, we cannot control what members of your Limited Access Group will do with such content after you have disclosed it. Your name may be displayed to other users when you upload images or videos or send messages through the Services and other users can contact you through messages and comments.
d. Communication About the Services or in Response to User Requests
As part of the Services, you may receive from Kinderpedia (depending on your User Category) e-mails or other types of communication relating to your use of the Services or your user profile. You acknowledge and agree that by posting information on the Services or otherwise using the Services, Kinderpedia and its agents may send you email, contact you or engage in other communication that they determine relate to your profile or use of the Services. Depending on your User Category, Kinderpedia may use your e-mail address to send updates, a newsletter or other news regarding the Services, or to simply send Notifications.
If Kinderpedia, or some all of its assets were acquired or otherwise transferred, user information may be transferred to or acquired by different legal entity.
f. Protection of Kinderpedia and Others. Legal Requirements
We may disclose personal information if we have a good faith belief that doing so is necessary to comply with the law, such as complying with a subpoena or other legal process. We may need to disclose personal information where, in good faith, we think it is necessary to protect the rights, property, or safety of Kinderpedia, our employees, our community, or others, or to prevent violations of our Terms of Service or other agreements. This includes, without limitation, exchanging information with other companies and organizations for fraud protection or responding to government requests.
We post testimonials on our Service, which may contain personal information such as the name, photo and/or a video of the individual in the testimonial. We obtain the individual’s consent in advance to ensure we have permission to post this content publicly. To request removal of your personal information from our testimonials, please contact us at [email protected].
h. Aggregated Information and Non-Identifying Information
We may share aggregated, non-personally identifiable information publicly, including with users, partners or the press in order to, for example, demonstrate how Kinderpedia is used, spot industry trends, or to provide marketing materials for Kinderpedia. Any aggregated information shared this way will not contain any personal information.
i. Sharing with Kinderpedia Companies
Over time, Kinderpedia may grow and reorganize. We may share your personal information with affiliates such as a parent company, subsidiaries, joint venture partners or other companies that we control or that are under common control with us, in which case we will require those companies to agree to use your personal information in a way that is consistent with this Privacy Policy.
Push Notifications
When using the Mobile Application, Kinderpedia may send push notifications to teachers and parents - for example, letting them know when their daily report is ready, when observation or grades have been posted or telling them about a new event or poll that need a quick answer.
We require parents to provide a valid email address before they sign up for the Service and start receiving push notifications from Kinderpedia. At all times, parent users may opt out of receiving further notifications for each individual module or category, using the app settings.
How does Kinderpedia protect and secure my information?
Kinderpedia servers are in highly secure, military-grade data centers that are access-controlled. Kinderpedia uses bank-grade security at the software and network level to ensure all information is transmitted securely.
Your Kinderpedia account Personal Information or Children's Personal
Information is protected by a password for your privacy and security. We also use coding practices,
which take steps to prevent attack on our Services from web browsers and malicious scripts, by
processing all actions through several permission verifications checks.
You may help protect against unauthorized access to your account and Personal Information or Children's Personal Information by selecting and protecting your password appropriately and limiting access to your computer and browser by signing off after you have finished accessing your account.
When you enter sensitive information (such as a credit card number) in our Service purchasing process, we encrypt the transmission of that information using secure socket layer technology (SSL).
Kinderpedia endeavors to keep your information private. We work hard to ensure the integrity and security of our systems, however, no practices are 100% immune, and we can’t guarantee the security of information. Unauthorized entry or use, hardware or software failure, outages, attacks, human error, unauthorized use or other factors may compromise the security of user information at any time. If we learn of a security breach, we will attempt to notify you electronically (subject to any applicable laws) so that you can take appropriate protective steps; for example, we may post a notice on our homepage www.kinderpedia.co or elsewhere on the Service, and may send email to you at the e-mail address you have provided to us. Depending on where you live, you may have a legal right to receive notice of a security breach in writing.

The Services contain links to other sites. We are not responsible for the privacy policies and/or practices on other sites (but you should read all third parties’ privacy policies to ensure you understand them). This Privacy Policy only governs information collected by Kinderpedia on the Service.
Can I opt-out of providing information?
You can always decline to share personal information with us, or even block all cookies. However, it’s important to remember that, by blocking all cookies, many of Kinderpedia’s features may not be accessible, or may not function properly - for example, we may not be able to remember your language preferences for you. How can I access and manage my personal information?
Kinderpedia aims to provide you with easy access to any personal information we have collected about you. If that information is incorrect, we give you easy ways to update it, or to delete it, unless we have to keep that information for legitimate business (e.g., we need at least an e-mail address for your account) or legal purposes.
- Accessing Your Information: To request access to all your personal information we have on file, please contact us at [email protected]. In some cases, we won’t be able to guarantee complete access due to legal restrictions - for example, you will not be allowed to access files that contain information about other users or information that is confidential to us. We may not be able to fulfill requests that are unreasonably repetitive, require disproportionate technical effort or would be extremely impractical.
- Updating Your Information: You may update, correct, or delete some of your profile information or your preferences at any time by logging into your account on Kinderpedia and accessing your account settings page. You may have to verify your identity before you can do that. You may also, at any time, update, correct, or delete certain personal information that you have provided to us by contacting us at [email protected]. Please note that while your changes may be reflected promptly in active content, users that have previously accessed the content may still have access to old copies cached on their device or may have copied and stored your content. In addition, we may retain a backup copy of the prior version for a limited period of time (no longer than 12 months) or for legal purposes.

If you are the parent or legal guardian of a child who has a Kinderpedia account created by a teacher or a school official and you did not receive an email seeking your consent or providing notice, you can email us at [email protected] to have that child’s account deleted.
Any parents that want copies of their children’s personal information that we may have stored can contact us either by sending an email at [email protected] or as described in the "How Can I contact Kinderpedia with questions" section below. At any time, parents can refuse to permit us to collect further personal information about their children from teachers or school officials, and can request that we delete the personal information we have collected about their child by contacting us as per the "How Can I contact Kinderpedia with questions" section below. Please keep in mind that deleting records may require us to terminate the account in question. Also remember that before we can share the information with you, or delete it per your request, we will need to verify your identity, for example by requiring that you provide acceptable forms of personal identification.
How long is your personal data stored?
Your personal data (name, email, etc) are stored as long as you keep your account alive. You are
able to access your account and receive information about your child only if your account state is
active and only if you are able to login with your email address and your password.
We protect students with our industry-leading policy: we don’t keep student personal information
schools don’t need and we delete all personal data when you decide to terminate your child or your
parent account.
How can I delete my account?
We hope you’ll love using Kinderpedia now and always. However, if for some reason you ever want to delete your account (parent, teacher or school official), you can do that at any time by contacting us at [email protected]. If you are a parent or teacher using the Kinderpedia Platform, you may also delete your account by logging into your account and accessing your account settings page.
When you delete your account, we delete your profile information and any other content you provide in your profile (such as your name, username, password, email address, and profile photos) and depending on the category of user you are (i.e., parent, teacher or school official), information collected through the mobile permissions you’ve granted. Information that you have shared with others, others have shared about you, or content other users may have copied and stored, is not part of your account and may not be deleted when you delete your account. Social Media Features/Widgets
The Service may now or in the future include social media features, such as the Facebook Share button, and the Twitter Tweet button. These social media features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. Social media features and widgets are either hosted by a third party or hosted directly on our Website. Your interactions with these social media features are governed by the privacy policy of the company providing each social media feature. If you are not comfortable accessing such social media websites and using such social media features, please don’t use them! Kinderpedia does NOT share your (your child's) personal information with Facebook/Twitter.
GDPR, EU and Swiss Safe Harbor
Kinderpedia complies with the regulations of GDPR, EU Safe Harbor Framework and the Swiss Safe Harbor Framework set forth by the Department of Commerce regarding the collection, use and retention of personal information from European Union member countries and Switzerland. Kinderpedia has certified that it adheres to the Safe Harbor Privacy Principles of notice, choice, onward transfer, security, data integrity, access, and enforcement. In compliance with the EU and Swiss Safe Harbor Principles, Kinderpedia commits to resolve complaints about your privacy and our collection or use of your personal information. Will This Privacy Policy Ever Change?
As Kinderpedia evolves, we may need to update this Policy to keep pace with changes in the service, our business and the respective laws which govern our services and the way you access them; we will, however, always maintain our commitment to respect your privacy. We will post any revisions to this Policy, along with their effective date, in an easy to find area of our web site, so we recommend that you periodically check back here to stay informed of any changes. We will ask for your consent to such changes if required by applicable law; in other cases, please note that your continuation of your Kinderpedia Service account after any change means that you agree with and consent to be bound by the new Privacy Policy. If you disagree with any changes in this Policy and do not wish your information to be subject to the revised Policy, you will need to close your account.
